Return verification

Return verification before the money leaves

Return verification asks one question: does what came back match what you sold and delivered? Scans and tickets are not enough. You need a visual comparison and a clear approve, hold, or reject path.

Refunds without return verification are expensive guesses

Many teams treat “return initiated” as “refund approved.” The parcel is still in transit, QC has not opened it, and support is already promising money back. That is how empty boxes and SKU swaps win.

Return verification puts a gate between receipt and refund. It does not mean every customer waits days. It means high-risk or disputed returns get eyes and evidence before payout.

What return verification checks

A good checklist is short and visual. Your team should answer the same questions every time.

Identity

Is this the SKU, colour, size, and serial you shipped? Compare against delivery footage or packing record.

Completeness

Are accessories, chargers, tags, and inner packaging present? Partial returns look fine until restock fails.

Condition

Unused vs worn, sealed vs opened, transit damage vs customer use. Video often catches what a single still misses.

Story match

Does the claim (“wrong item,” “defective”) match what you see? Mismatches deserve a hold, not an auto-refund.

How to build a return verification workflow

Start with a baseline at delivery when AOV or category risk is high. Require return evidence for the same orders. Route verified matches to fast refund. Route mismatches to human review.

Document the reason code. Patterns across customers and pincodes become visible only when every decision leaves a trail.

  • Define which orders need dual evidence (delivery + return)
  • Never refund disputed high-AOV SKUs before QC open or video review
  • Train support to say “we verify returns before refund” consistently
  • Link verification outcomes to return fraud prevention metrics

Return verification in four moves

Keep the process boring and repeatable.

Step 1

Collect

Gather delivery and return media tied to the order ID.

Step 2

Compare

Open both records side by side. Note SKU, packing, and condition.

Step 3

Decide

Approve, hold with a question, or reject with a policy reason.

Step 4

Record

Store the decision so finance and support share one truth.

Return verification with Vefri

Vefri attaches delivery and return capture to the order, then gives your QC team a side-by-side console. Shopify, Shiprocket, Delhivery, and WhatsApp keep the flow inside tools you already use.

Your team still decides. Verification just stops guessing.
